Introducing Invite Links: The Scheduling Link for All Your Meetings
Discover the “have your cake and eat it, too” of meeting scheduling.
It's one of the most significant pain points of any meeting: the back and forth of coordinating attendees. From sending the initial meeting request to deciding on a mutual time to connect, there's way too much coordination that happens following the question, "When are you free to meet?"
That's why teams use CalendarHero to schedule meetings automatically and simplify their meeting workflows. In the CalendarHero annual report, we learned that 44 percent of our users prefer to share a personal scheduling link to book their meetings.
And it makes sense. Scheduling links are by far one of the fastest ways to book meetings.
What is a scheduling link?
A scheduling link is a public link that shares your availability, so someone can conveniently click on the link and choose a time to meet with you according to your schedule. CalendarHero personal scheduling links are best used for 1:1 meetings (meetings with only one other person) and can be reused by anyone you share it with for future meetings. For instance, a customer support rep can choose to add their personal scheduling link to their e-signature. It’s an easy, passive method of enabling customers to self-book support calls on-demand.
But what about planned meetings with coworkers, departments, or internal and external attendees? For meetings designated for a specific group of people, we recommend scheduling your meeting through the CalendarHero web scheduler. It’s an effective way to organize a group meeting. Once you’ve added your invitees and meeting details, you initiate an automated meeting request to each of your group invitees.
However, we also recognize that there may be some instances where you’ll want to personalize your invitations rather than issuing automated meeting requests.
That's why we're excited to introduce another fast and powerful scheduling option:
Meet the CalendarHero private invite link — a scheduling link that enables you to create an invite link for your group meetings and planned meetings, so that you can add a human touch to your meeting invitations.
What is a private invite link?
The CalendarHero private invite link is a unique link that you can share with pre-selected invitees to RSVP for a meeting that you’ve created. This is unlike the personal scheduling link that can be used unlimited times by different invitees.
For example, you wouldn't add the private invite link to your website contact page. However, you could directly share the invite link with your meeting invitees in an email instead of sending automated meeting requests from CalendarHero. Your meeting will still be scheduled automatically but you can control when and how to send the meeting invitation.
When scheduling a meeting using the CalendarHero web scheduler, you'll now have the following options:
1. You can choose to send automated meeting requests to your invitees.
2. Share a private invite link in an email, text, or group message with your invitees.
For example, if you're organizing a department-wide sales meeting, you could choose to send your meeting’s invitations through your CalendarHero meeting assistant, or you could copy and paste your private invite link into a group email or a Slack channel.
As meetings become more complex, CalendarHero becomes more dexterous to handle any meeting on your to-do list, from group interviews to customer calls. The private invite link is a flexible scheduling option that enables to automate scheduling while still adding a human touch to your meeting invitations.
What do invitees see when you send them a private invite link?
Private invites links are a great way to show your invitees that you value their time but speeding up the meeting scheduling process. After your invitees click on your invite link, they will be asked to enter their email address. This is so that CalendarHero can verify that you’ve invited them to the meeting.
After verifying their email address, your invitees can select a time to meet. The time selection process is the same with all CalendarHero scheduling methods.
Once your group of invitees selects a time, the CalendarHero group algorithm kicks in to find the best mutual time for group meeting. That way, you can seamlessly book group meetings without having to manually survey for everyone’s availability.
