This Month at CalendarHero: October Updates


This October, we’ve introduced new features to help you work smarter not harder.

All of us on the CalendarHero (formerly Zoom.ai) team have been laser focused on creating an awesome meeting scheduling experience that meets all your meeting needs. We’ve also been very excited over Halloween, but more on that later 🎃.

Now for the not-so-spooky news:

We’ve just rolled out Collective Availability. This exciting feature is going to make group coordination less of a nightmare. Keep reading to find out how.

We also rounded up a list of recent product updates that can help you make the most of CalendarHero.

But first… here is documented proof that Team CalendarHero is feeling the Halloween spirit.

Now for the product updates that will take the scary out of group meetings…

Schedule group meetings easily with collective availability

Need to plan an important meeting with both internal and external attendees? There’s no need to fear. CalendarHero users can now use Collective Availability to pool specific team members' availability. Your external invitees will only see times where all team members are mutually available. Hooray!

This feature ensures that everyone that should be in the meeting can actually make it and saves you from needing to ask everyone when they're free (phew). 

Plus, if you're only organizing the meeting and not attending it, you can simply omit yourself and your availability won't be included.

Here are some common scenarios where you would want to give this feature a try:

For Recruiters and Hiring Managers

Hiring managers Sasha and Jane are both required to interview a candidate. The company’s recruiter Marie can enable “Collective” and then invite Sasha, Jane and the candidate to a group interview. In the meeting invitation, the candidate will be able to pick a time from Sasha and Jane’s mutual availability. Since Marie (the recruiter) is simply organizing the meeting and not attending it, she can choose to omit herself and her availability will not be included.

For Sales and Customer Support Teams

David and Connie are both sales reps working together to try and close a new deal, but their client has some super technical questions. They decide they want to invite their sales engineer Jessica to help answer the client’s questions. David can enable “Collective” and invite both Connie and Jessica to a meeting with the client. When the meeting invitation is sent to the client, the client will be able to quickly select a meeting time based on David, Connie, and Jessica’s mutual availability.

When a meeting is scheduled with Collective Availability, all invited members will be added to the calendar event automatically. Now, that'll lift your spirits!
