CalendarHero launches Group Class for events and webinars
It’s now simpler than ever to pre-schedule group classes, webinars, and events.

So when our customers began asking how they could use CalendarHero not just for daily meetings but also group classes, webinars, and events, we set out to simplify the group class scheduling experience as well.
Group class scheduling made easy
CalendarHero Group Class enables you to pre-schedule a group event for a set time and date and allow multiple participants to sign up for the same event.

You set the time, we do the rest
To start, we’ve designed a single entry point for creating a group class in CalendarHero. Whether you’re leading a marketing webinar, a virtual yoga class, or a group training session, add a new CalendarHero meeting type to start using the group class feature.
Plan group classes your way. Customize your meeting type (also known as a meeting template) to include pre-configured event details, including adding a custom title and description, connecting your video provider, enabling payment collection, and setting a maximum number of attendees.
For example, if you organize a weekly marketing webinar called “Marketing 101” that uses the same criteria every week, create a group class meeting type for “Marketing 101”, so you can set and reuse the same event criteria for each pre-scheduled webinar.
Once you've added your group class meeting type, you can pre-schedule events for that meeting type. Your group class meeting type will generate a unique URL (e.g. calendarhero.to/marketing101) which acts as a landing page for any scheduled events under that meeting type.
Start scheduling
Once you've created a group class meeting type, it's time to start adding events!
In your CalendarHero settings, click "schedule class" beside the corresponding meeting type so that you can choose the time and date for your event. To ensure you're happy with every detail, you'll also have a chance to review your event criteria and make optional edits to the duration, location, agenda and attendee limit. Good to know: Once your event reaches the attendee limit, new attendees can't join. Learn more.
After you've reviewed your event details, click "next" to launch a custom scheduling page. Your scheduling page will have a unique scheduling link that you can add to emails, your website, social media posts, and more to promote your group class, training session, or webinar.
What attendees see
We know how crucial creating a smooth attendee experience is to the success of your group class, virtual event, or webinar. That’s why simplifying your group scheduling process is essential when hosting online events.
Three ways to share group events:
Share the unique invite link for your group class event (e.g.“Yoga” for Thursday at 8 am). Through your unique invite link, attendees can sign up for that specific event.
Share the meeting type landing page link. By sharing the landing page, participants can browse multiple events from the same meeting type, (e.g. “Yoga” for Thursday at 8 am, Friday at 10 am, etc.)
Create and share a directory to promote more than one meeting type on the same page. For example, a fitness studio can create a directory where participants can sign up for yoga, pilates, and barre classes.
Straightforward self-booking
Once an attendee selects an event from your scheduling page, they’ll input their name and email to quickly secure a spot in your class, webinar, or event.
Does your group class require payment? Make it simple for attendees to book and pay at the same time by enabling payment collection with the option to issue automated refunds if there’s a cancellation. Once booked, CalendarHero sends attendees calendar events. Note: The attendee list will not be visible to attendees.
Plus, for maximum flexibility, we've made it seamless for attendees to cancel group classes. Each attendee receives a convenient cancel link in their calendar event where they can choose to decline a group class event. As a meeting creator, you'll be notified automatically when an attendee cancels.
Brand and personalize your booking experience
Integrate your brand to enhance every customer interaction. Just like CalendarHero’s meeting scheduling experience, any custom branding you’ve added to your CalendarHero account will also be visible in your group class scheduling experience. Show off your company logo. Add a personal icon. Promote your brand at every touchpoint.
Want to keep attendees on your website longer? After the booking confirmation, you can redirect attendees to your website or a landing page to further engage attendees with marketing content or educational materials.
Track event progress
Want to spend less time managing your events? We have you covered! We’ve made it incredibly easy to track the progress of your group class events without slowing you down.
Whenever a new attendee signs up for one of your events, you’ll be notified via email. You can also keep track of all your CalendarHero meetings and group classes in Tasks. Under the “upcoming” tab, scan individual task cards for any scheduled group class events. Right away, you’ll be able to review who’s signed up, grab the invite link, and cancel the event if something comes up.
Speaking of which, if you cancel one of your events, you don’t have to worry about sending a mass email to your attendees. CalendarHero automatically notifies participants if there’s a cancellation, so you don’t have to. If your event collects credit card payments and you’ve enabled auto-refund, all charges will be refunded automatically, without hassle.
